Club Policies:

Wet Weather Policy - Coaching sessions shall be judged by the Tennis Coach prior to the start time. Sessions will still RUN in light rain and windy conditions/cold conditions. The courts are suitable, safe and designed for play in wet/cold conditions. In the event of heavy rain or unsuitable weather the Coach shall cancel the session with ideally a minimum of 30minutes notice where possible.

All persons booked onto a session shall be contacted in the event of a cancellation and no lesson fee shall be charged. In the event a player does not show up/cancel their class booking then the lesson fee will still be charged if 24hours notice is not given.

If a session starts and at least 50% of the session is completed before bad weather stops play then the session is still charged fully. If the session starts, however within 30minutes is cancelled due to weather then a full refund is offered.

Cancellation Procedure - If you have booked onto a coaching session (Group or Private) but need to cancel then you can do this by contacting the coach directly or contacting the club. Players must give at least 24hours notice to avoid being charged the lesson fee. If you cancel with less than 24hours notice you may still be charged if a last minute replacement can not be found. This is for two reasons, firstly because your late cancellation will result in another player not being able to attend the class and miss out. Secondly, the coach will be taking a financial hit as a result of your late cancellation.

No Show Policy - If you have booked onto a class, but fail to attend and not show up then the full lesson fee shall still be charged.

Kids’ Tennis Camp Policy - Throughout the year the club holds Kids’ Tennis Camps during their school breaks. Anyone wishing to attend Kids’ Camps must sign up and book onto the camps. Only upon receiving a payment are your child’s slots confirmed and secured.

If you need to cancel your child’s slot then you must give at least 48 hours notice. You may not switch your camp date to another date where less than 48hours notice is given. Any cancellation with less than 48 hours may still be charged and not refundable. Any cancellation with more than 48 hours notice will be 100% refundable. Any child no shows will still be charged at full rate for failing to attend.

As part of our safeguarding policy Branksome Park Tennis will:

· ensure everyone understands their roles and responsibilities in respect of safeguarding and is provided with appropriate learning opportunities to recognise, identify and respond to signs of abuse, neglect and other safeguarding concerns relating to children and adults at risk

· encourage and maintain a culture where people feel able to raise a genuine safeguarding concern and are confident that it will be taken seriously

· ensure appropriate action is taken in the event of incidents/concerns of abuse and support provided to the individual/s who raise or disclose the concern

· ensure that confidential, detailed and accurate records of all safeguarding concerns are maintained and securely stored

· prevent the employment/deployment of unsuitable individuals

· ensure robust safeguarding arrangements and procedures are in operation
